Clerk and Recorder

The Clerk and Recorder’s Office is the official keeper of records for Beaverhead County. These records include Deeds, Mortgages, Subdivisions, Certificates of Surveys, Birth and Death Records.

The majority of all Clerk & Recorder’s records are open to the public.  Searches, copies and certified copies are provided upon request for a fee. Fees for searches and copies are charged according to Montana Statute. Our documents can now be searched online through iDoc Market.

The Clerk and Recorders’ Office also serves as the Election Office for Beaverhead County.

We are restricted by Montana Code 7-4-2210 from providing legal advice or interpreting your document. Please contact an attorney for any questions you may have.

Beaverhead County Recording Information

It is the statutory responsibility of this office for recording and maintaining the majority of all legal documents relating to real estate records, subdivisions and certificates of surveys, records of commission meetings, vital statistics, and serves as the election administrator as per 13-1-101 (9) and 13-1-301 MCA.

DOCUMENT STANDARDS: 7-4-2636 MCA7-4-2637 MCA7-4-2618 MCA

Documents must be legibly printed or typed in black ink at least 10-point typeface, not including the signature, on white paper of not less than 20-pound weight, each page of which must be separated and have dimensions of either 8½ X 11 inches or 8½ X 14 inches.

Provide the names of the parties to the conveyance on the first or second page of any document with more than one page.

Provide a legal description of the property.

At least a 3-inch margin at the top of the first page, and at least a 1-inch at the top all subsequent pages. At least a 1-inch margin on the bottom of each page, and at least ½ inch on the sides of each page.

Include the name and mailing address of the person to whom the document is to be returned in the margin in the upper left-hand corner of the first page of each document submitted and may include legibly printed in ink or typed. This must be within the 3 inch top margin and between the ½ side margins.

FEES FOR RECORDING

  • $8.00 per page for documents that meet the above requirements.
  • $10.00 Non Standard Document Fee in addition to the $8.00 page fee if the document does not meet standards.
  • $5.00 Filed Document Fee

Beaverhead County Records Search

BEAVERHEAD COUNTY LAND RECORDS

On June 12, 2019, Beaverhead County went live with our document indexing on IDoc Market. Records dating January 1, 2002 to present are available to view digitally. Beaverhead County is working to expand our digital records, however early microfilm images, plats and certificates of surveys are in the process of being imaged and are searchable in the Clerk & Recorders office. Documents such as Vital Records and Military Discharge documents are confidential and images are not available.

We offer four choices of subscriptions for our customers to choose which best suits their needs.

Birth, Death & DD-214

BIRTH RECORDS

The Clerk & Recorder’s office can issue certified and informational copies of Births that occurred in Montana. Certified copies of Birth Certificates are $8.00 per copy. Requests are processed the day they are received and returned via USPS the same day, for expedited shipping please include a self-addressed stamped envelope or shipping package. Genealogy copies can be acquired for $0.50 each.

DEATH RECORDS

The Clerk & Recorders office can issue Death Certificates dating from January 1, 2003 to current.  Certified copies of Death Certificates are $7.00 per copy. To obtain a copy of a death certificate dated prior to January 1, 2003 the request must be sent to the Clerk & Recorder in the county the death occurred.  Genealogy copies can be acquired for $0.50 each.

DD-214

The DD-214 is a record of Military Discharge; individuals may file their DD-214 with Clerk & Recorders office and receive a certified copy at their request.  DD-214’s are confidential and are restricted as to who can request themGenealogy copies can be acquired for $0.50 each
